2025 Policies

We are a full scale beverage catering company, and when you hire our services, we do ALL the work for you. We provide everything from cups and ice, alcoholic and non-alcoholic beverages, insured professional bartenders and the physical bar, along with every little detail to have a full bar pop up at your event.

All package pricing is based on a minimum 4-hour service time  plus 2 hours of set up and one hour of load out time, and does not include labor (see below for labor). Bar package pricing for events longer than 4-hours are pro-rated depending on the package selected and the additional amount of time beyond the minimum 4-hours.

Our prices are based on the average consumption for all guests which include the use of high quality disposable drinkware, napkins, ice, alcoholic and non alcoholic options, garnishes, etc. All of your guests will come to the bar from open until close for a variety and range of drinks, some more thirsty than others:)

All packages include ice, high quality disposable cups, napkins, straws, coolers, ice wells, beer tubs...absolutely everything needed for a full scale bar to pop up at your event.


Staff/Labor costs are $250-$450 per staff member based on a 4-hour event with 2 hour set up and 1 hour load out. Staff Pricing also reflects the hours the staff is working before and after you see them at the event. Some venues and load-ins take longer than others. Each event is unique. Longer events are priced at an additional $50-$75 per hour per bartender. Lastly, we reserve the right to determine the correct number of staff and portable bars to ensure your events’ success.

Lead Staff Member Costs Starting at $350

VIP Service is an additional $3 per person added onto the bar package prices.

Labor fee covers hourly pay, as well as staff insurance which we provide so the host does not have to. Each one of our staff members has Liquor Liability Insurance.

Gratuity Our bar invoices always include a base gratuity. Our bartenders will place tip jars on the bar unless the host wishes a no-tip jar option, in this case, we will adjust the gratuity accordingly.

Service Charge covers costs such as consultation time, gas/mileage on vehicle, insurance on vehicles, general liability, liquor liability, back of house preparations such as staging for events, crafting ingredients, kitchen/culinary labor, building personalized menus, inventory, loading and unloading vans, dishes, etc. We pay an insurance premium to provide our services at private events and are happy to add your venue to our COI.

Cancellation

If the CLIENT needs to cancel the event, CLIENT must provide written notice to Bars on Wheels along with any required cancellation fee described in this contract to effect cancellation. 

CLIENT understands that upon entering into this Contract, Bars on Wheels is committing time and resources to this Event and thus cancellation would result in lost income and lost business opportunities in an amount difficult to precisely calculate. 

The 50% deposit is non-refundable, should the event be canceled by CLIENT. 

If CLIENT requests cancellation of this Contract 90 to 179 days prior to the Event, CLIENT is responsible for additional 10% total proposal. 

If CLIENT requests cancellation of this contract between 46 and 89 days of the event date, CLIENT is responsible for an additional 20% of the total proposal (50% Deposit plus 20%). 

If the event is canceled between 31 and 45 days of the event, CLIENT is responsible for an additional 30% of the total proposal. 

If CLIENT cancels in less than 30 days of the event, CLIENT is responsible for 100% payment based on the current proposal.  

Staffing and Service Charge Fees For Reschedules

Our staff is invaluable and we are honored to have them. We must provide all members of our staff with job security. Our bartenders and back of house employees make Rocktails Bars on Wheels a priority when we call on them to work events and therefore, they make arrangements in their schedules for us and you as the client. In order for our incredible staff to remain our employees, we need to ensure that even if an event gets rescheduled, the time they have blocked out for us,  and not scheduled for other work or life events, is valued. If we didn’t pay our staff for cancelled events, they wouldn’t feel as though they have a safe job with Bars on Wheels. 

If CLIENT reschedules 2 weeks prior to the date event, they will still be charged for both staffing and service charges for the original booking date as well as the new rescheduled date.

Terms

At the time of initial deposit, adjustments can still be made to the invoice. Additions only to attendance and menu choices are accepted up until the balance is paid in full, one month prior to the event. There is a guaranteed minimum of 85% of the original proposal 30 days prior to the event.
